
Event Terms & Conditions
Please note that the Event will not be considered as secured until the Event Booking Form, Terms and Conditions, and deposit have been agreed and received by MVIC.
Definitions used: Client, You or you mean person responsible for booking and payment of the Event, as specified on the Event Booking Form.
Event means the booking using an area of Mountain View Innovation Centre, specific details of which are set out in the Event Booking Form.
Event Addendum means an addendum to the Event Booking Form, as agreed by Client and MVIC.
We, we or us means ZipAddress, owner of Mountain View Innovation Centre where the Event will take place, as set out on the Event Booking Form.
Event Booking Form means the setting out the details of the Event, either using our online booking form or via email confirmation of the same.
Room Hire and Event Details
This Event is based on the hire as detailed in your Event Booking Form. You shall not use the premises or permit the premises to be used for any purpose other than for the purpose(s) specified on the Event Booking Form.
Access
If your hire includes the provision of independent access either via a key or our smartlock system, you accept the terms of their issue. Specifically, any keys and/or codes issued are for your sole use and should not be loaned to or shared with any other person. Under no circumstances may copies of these keys be made. If any key or code is misplaced or lost, you should inform us immediately. If a key is permanently lost while issued to you, i.e., you cannot find it by the date it is due back, you will be liable for all costs of replacing the relevant lock to ensure ongoing security, in addition to the cost of replacing all keys we hold for that lock. It is your responsibility to ensure all external doors and windows of any areas accessible with your key or code are properly secured when you leave the premises. All lights should be switched off before final exit. All keys should be returned to us immediately following your event.
Additional Spend
You shall be liable to pay us for any items not expressly set out in the Event Booking Form but made available on request by the Client or other named contact during the Event.
Outside Food & Beverages
You may only bring food and drink for use during your Event if expressly agreed in writing, in advance with us.
Room Decoration
You may decorate the venue for your event, but those decorations must not affect the integrity of the building. Any decorations which are to be affixed or attached in any way to the venue must be expressly agreed in writing, in advance with us. We do not allow candles or other forms of naked flame. We reserve the right to charge for additional cleaning required due to any type of confetti or glitter decorations. We do not allow silly string.
Cancellation
If you cancel an Event within 2 Months of the date stated in the event booking form, then your deposit will be lost. If you cancel 28 days or less prior to your event, the full payment will be due. All notices of cancellation must be received in writing from you and will take effect from the date of receipt by us. Should you be unable to hold your event due to IOM Government COVID regulations, then we shall allow a period of 6 months in which to reschedule the event, subject to venue availability, free of additional charge. The event may only be rescheduled once. If the rescheduled event is also prevented from taking place due to IOM Government COVID regulations, we will allow a period of 3 months from the rescheduled event date in which to further reschedule the event. Any further rescheduling would be at our sole discretion and should not be considered at any point to be guaranteed.
Outside Contractors
You may not appoint outside contractors unless expressly agreed in writing by us. All outside contractors must adhere to our site rules (including but not limited to health and safety regulations) and be willing and able to provide proof of adequate public liability insurance. Should the contractors be operating an occasional alcohol license on the site, it is their responsibility to ensure that they are fulfilling all required obligations as detailed in the Liquor Licensing and Public Entertainment Regulations 2022.
We reserve the right, at our sole discretion, to remove any person or organisation from our premises.
Responsibilities & Damage
You accept liability for loss and/or damage caused by your officers, employees and temporary workers, contractors, sub-contractors, as well as by participants to the Event. You will obtain the appropriate public liability insurance, which may we may wish to review. We shall not be responsible for any damage to or loss of your property – or the property of participants in your event under any circumstances. If required, and at our sole discretion, you will provide, at your expense and subject to our approval, suitable security, first-aid or marshalling personnel. It is your responsibility to ensure that guests have vacated the site within designated time frames. All waste generated by the event should be removed from the site immediately following the hire.
Parking
Unless otherwise agreed, the maximum number of cars which can enter and remain on the site at any given time is 200. In order to ensure effective management of traffic on site, you must provide parking marshals and the parking plan provided by us should be adhered to. There must not be any parking on the public road approaching the site from both directions. You should liaise with the relevant authorities to arrange for the road to be coned to mitigate this and to preserve residential amenity. You accept liability for any damage caused to any areas of the site, including the grass verges on the approaches.
Health & Safety
You accept responsibility for ensuring proper supervision of the event, having regard for safety, noise and fire safety. You must ensure that everyone using the premises is aware of the fire procedure and the position of emergency exits. You must take reasonable care of your own health and safety, not interfere with anything provided to safeguard that and report all health and safety concerns to the Events, Venues and Tenancies Manager or the Properties Manager. Any movement of furniture or amendment to the room layout such as bi-fold doors or staging should be undertaken in a safe manner adhering to health and safety good practice. No animals, except registered assistance dogs are permitted on the premises at any time.
Licensed Premises – Babbage’s & Outdoor Seating Area
The licence holder has an absolute right under Section 33 of the Liquor Licensing and Public Entertainments Regulations Act 2022 to determine who enters the premises, who is served alcohol and who has to leave. Whilst such circumstances are rare, we would ask in particular for it to be noted that any person attending the site who is subject to any form of Court ban from entry to licensed premises under Section 33 of the Liquor Licensing and Public Entertainments Regulations Act 2022 will be also refused entry onto any part of the site forming the licensed area and the matter will be reported to the Police by routine.
Promotional Considerations
Any advertisements or promotional materials in connection with your function that specifically reference any name or logo of MVIC, ZipAddress or other subsidiary companies must be submitted for approval before publication, and must not claim that the event is the responsibility of ZipAddress Ltd.
